Standardizing your onboarding processes and methodology helps ensure consistency in experience for your customers. It also ensures adherence to best practices and processes by your onboarding team members. Rocketlane’s template feature helps you do just that.


You can create two kinds of templates in Rocketlane:


  • Project templates: Standardize your onboarding process for each customer segment. 

  • Document templates: Standardize checklists, questionnaires, SoW, etc. 


Creating Project Templates

Rocketlane comes with in-built templates that you can apply and modify according to your needs. You can also create your own templates from scratch.


To create a project template,


1. Click the Templates icon on the left side panel



2. In the Templates page that appears, click Create a new project template. The template creation screen appears

3. Provide a name for the template

4. Start the template creation by adding phases of the project. Do this by clicking Add new phase 


Adding tasks and sub-tasks

1. Under the phase, add tasks by clicking Add new task. Add descriptions and format them, add attachments, mention/tag people to call their attention to the task, add dependencies using the Add dependent task option.


2. You can also create sub-tasks for the task using the Add a subtask below option:

3. Click the More actions icon and then click Move to move a task from one phase to another:




Creating milestones


You can convert a task or a sub-task into a project milestone. Click the More actions icon available for each task/sub-task and then click Mark as milestone




Setting project visibility for your customer


Rocketlane allows you to choose what parts of the project you want to make visible to your customer. For example, you may want to make the Pre kick-off phase visible only to your team and make the phases that follow visible to your customer as they will be involved in them.



The phases you create for your project are all private by default. To make a phase visible to your customer’s team, click the More actions icon under Phase details and click Mark as shared:



You will also find this option on the list pane → More actions



Similarly, you can mark a phase as private:


Marking a phase as private will mean that it will be visible only to your internal team.


You can also make a task private. To do this, open the task, click the icon for more actions, and, click Mark task as private:





Note: Private phases become ‘private spaces’ and shared phases become ‘shared spaces’ within the project. Learn more about private and shared spaces here


Adding documents and files


Once you’ve created the necessary phases with their respective tasks, sub-tasks, milestones, and visibility, click Next at the bottom right corner. A page will appear where you can add documents and files to each space (phase). The spaces are categorized as private and shared on the left panel.



On the right, you will find options to add files:



1. You can create a document from scratch, or embed a document using a URL. You can also replicate Rocketlane’s in-built document templates and modify them for your needs. You can add documents, embed your calendar, add slide decks, etc.

2. To add another document or file, click the ‘+’ icon 

3. Once you have added the necessary files and URLs, click the Save button on the top right 



Once you’ve created the phases, you can view them on the Project plan tab. The default view is the Board view:




Click Timeline for a Gantt chart view of the project.



Creating Document Templates

Rocketlane comes with in-built templates that you can apply and modify according to your needs. You can also create your own templates from scratch.


To create a document template,

1. Click the Templates icon on the left side panel



2. In the Templates page that appears, click Create a new document template. The template creation screen appears

3. A blank document editor screen appears. Apart from the general formatting options, you also have options to add information panels, tasks, and private sections (make sections visible only to your internal team)


  1. Information panels are especially useful if you are creating help documents for your customer to use during the onboarding journey. 




You can call out the different kinds of messages, errors, etc. using this option.



  1. You can add tasks and private sections using the Insert sections option



4. Once you’ve created the document template, click the Save button on the top right corner
