How the Zoom Integration Works
After the integration is connected, Rocketlane retrieves eligible completed recordings from the Zoom Cloud through Zoom's API. No Rocketlane bot is required for cloud recording retrieval.
The Zoom integration can support two related workflows:
You can enable one or both workflows. If your organization uses the AI Notetaker and Zoom cloud recordings, they can operate at the same time.
Before You Begin
Ensure that:
- Meeting Intelligence is enabled in Rocketlane.
- You have administrator access in Rocketlane.
- You are the Zoom account owner or have sufficient Zoom administrator privileges to authorize the integration.
- Your Zoom account supports cloud recording.
- Cloud recording is enabled for the relevant Zoom users or groups.
- Audio transcription is enabled in Zoom.
- Meetings that should be available in Rocketlane are recorded to the Zoom Cloud.
The Zoom account must support cloud recording, such as a Zoom Pro, Business, Education, or Enterprise account.
Step 1: Enable Cloud Recording and Audio Transcription in Zoom
Before connecting Zoom to Rocketlane, verify the required recording settings in Zoom:
- Sign in to the Zoom web portal as an account owner or administrator.
- Under Admin, go to Account Management > Account Settings.
- Open the Recording tab.
- Enable Cloud recording.
- Enable Audio transcript.
- Confirm that these settings apply to the users or groups whose meetings should be available in Rocketlane.

Step 2: Connect Zoom in Rocketlane
To connect Zoom:
- Sign in to Rocketlane as an administrator.
- Go to Settings > Meeting Intelligence > Setup & recording.
- Find Zoom under Cloud recording sources.
- Click Connect.
- Sign in to the Zoom account you want to connect.
- Review the permissions requested by Rocketlane.
- Click Authorize to complete the connection.

Once authorization is complete, Zoom appears as a connected recording source in Rocketlane.
Which Zoom Recordings Are Retrieved?
Rocketlane retrieves eligible Zoom cloud recordings involving:
- Active Rocketlane team members.
- Participants whose email domain matches an internal domain identified from your Rocketlane team members or partners.
The meeting host or participant does not need a Rocketlane licence solely for Zoom cloud recording retrieval. Rocketlane matches eligible recordings using meeting and participant information received through Zoom's API.
A recording must be available in the Zoom Cloud, and the necessary transcript data must be available, before Rocketlane can process it.
After an eligible meeting is retrieved:
- Rocketlane creates a meeting page for the captured meeting.
- Rocketlane attempts to classify the meeting as internal or customer-facing.
- For customer meetings, Rocketlane attempts to associate the meeting with the appropriate company.
- AI Fills and Signals run according to their respective configurations and eligibility rules.
Use Zoom with Other Recording Sources
Zoom can remain connected while other cloud recording sources and the Rocketlane AI Notetaker are enabled.
For example:
- A sales team can continue recording calls in Gong.
- An implementation team can use Zoom cloud recording.
- Other team members can use the Rocketlane AI Notetaker.
Rocketlane can receive meetings from all these sources without requiring one recording method to be selected for the entire account.
Retrieve Historical Zoom Recordings
When historical recording retrieval is enabled, Rocketlane can search Zoom for eligible earlier recordings.
Historical retrieval can run when:
- Zoom is connected as a new cloud recording source.
- Historical retrieval is enabled for the first time.
- The configured historical retrieval period is changed.
- A new customer company is created in Rocketlane.
Rocketlane matches historical meetings using available customer contacts, participant domains, company website information, and company names.
To review or change this behavior, go to Settings > Meeting Intelligence > Setup & recording and find the historical recording retrieval settings.
Use Zoom Recordings with AI Fills
Once a Zoom meeting has been captured, team members can use it with AI Fills according to the AI Fills meeting-scope configuration.
AI Fills can generate content such as:
- Meeting summaries
- Follow-up emails
- Action items
- Decisions and next steps
- Project updates
- Project documents
- Internal notes

Use the Rocketlane AI Notetaker in Zoom Meetings
The Rocketlane AI Notetaker can join scheduled Zoom meetings alongside the cloud integration.
For the AI Notetaker to join a host's meetings:
- The AI Notetaker must be enabled for that team member.
- The host must have a Rocketlane licence.
- The host must connect Google Calendar or Outlook to Rocketlane.
- The Zoom integration must be configured as required for the notetaker to join Zoom meetings.
Zoom does not support anonymous bot participants. Connecting Zoom allows the Rocketlane AI Notetaker to join supported Zoom meetings using the authorized integration.
Disconnect Zoom from Rocketlane
To stop Rocketlane from retrieving new Zoom recordings:
- Go to Settings > Meeting Intelligence > Setup & recording.
- Find Zoom under Cloud recording sources.
- Open the Zoom connection settings.
- Click Disconnect.
- Confirm the disconnection.
Rocketlane will stop retrieving new recordings from Zoom. Recordings that were retrieved before the disconnection remain available in Rocketlane.
Remove the Rocketlane App from Zoom
If you also want to remove the application authorization from your Zoom account:
- Sign in to the Zoom web portal.
- Open the Zoom App Marketplace.
- Go to Manage > Added Apps.
- Find the Rocketlane application.
- Click Remove and confirm the action.
Removing the application from Zoom prevents Rocketlane from accessing new Zoom recording data until the connection is authorized again.
Troubleshooting
A Zoom recording is not appearing in Rocketlane
Verify that:
- The meeting was recorded to the Zoom Cloud rather than to a local device.
- Cloud recording and audio transcription were enabled for the meeting host.
- The Zoom integration is still connected in Rocketlane.
- The meeting involved an eligible Rocketlane team member or an internal email domain recognized by Rocketlane.
- The recording and transcript have finished processing in Zoom.
The AI Notetaker did not join a Zoom meeting
Verify that:
- The AI Notetaker is enabled for the meeting host.
- The host has a Rocketlane licence.
- The host has connected the correct Google Calendar or Outlook account.
- The calendar event contains a valid Zoom meeting link.
- The Zoom integration remains authorized.
A meeting was captured but was not associated with a customer
Rocketlane may have been unable to identify one customer confidently. Check whether:
- The customer contacts have been added to Rocketlane.
- The participant email domains match the expected customer.
- The customer's website URL is present on the company record.
- Multiple customer companies use the same domain or have similar names.
The meeting page remains available even when the meeting cannot be associated with a customer.

Does connecting Zoom disable Gong or the AI Notetaker?

Does every Zoom meeting host need a Rocketlane licence?
