This guide shows how to let customers schedule time with their assigned onboarding manager directly inside each Rocketlane project, no more hunting for calendar links.
Build a Calendly‑Links Template
- Create a new project template (call it something like Calendly Links – Onboarding Managers).
- Leave Tasks and Phases empty; you only need the Shared Spaces section.
- In the Spaces panel, go to Shared Spaces and click Add New → Embed URL.
- Paste the Calendly URL of the first onboarding manager and name the space (e.g., Calendly – Alex K.).
- Repeat Step 3–4 for every onboarding manager until all Calendly links are embedded.

Add Dynamic Conditions
- Open the first Calendly space you just added.
- Click Dynamic → Add Condition.
- Set the condition: Where Onboarding Manager is exactly X. (use the exact name stored in your Onboarding Manager field).
- Save the condition.
- Repeat for each Calendly space, swapping in the correct manager name.
Result: Only the Calendly link that matches the project’s Onboarding Manager field will show for that project.
Automation – Insert the Template When a Manager Is Assigned
- Navigate to Settings → Automations → New Automation.
- Trigger this rule on: All projects.
- Trigger: When field is updated → Onboarding Manager.
- Action: Import template → select the Calendly Links – Onboarding Managers template you just created.
- Save the automation.

Now, whenever the Onboarding Manager field is set or updated in any project, Rocketlane automatically pulls in the template that contains all Calendly embeds. Because of the dynamic conditions, the customer sees only their own manager’s scheduling link.
