The Customer Portal: List Tab

The List view on the Customer Portal allows you to have a global view in a list format of all the tasks in the project you have been added to. You can read/ edit task properties like Project phase, Assignee, Start date, Due date and more. 


You can view custom task lists by choosing from default view options or create custom views using filters.


You can filter tasks based on your preferences and save it as a shared/ private view.





Filters 


Default Views



The Default views to view the Task List includes:

  • All Tasks: Lists all the tasks that are added to the project.
  • Assigned to me: Tasks that have you added as an assignee.
  • Milestones: List of all the tasks marked as Milestone.


Applying Filters 


  1. From the List page, click on Filter.




  2. The filter selection has two modes namely Simple mode and Advanced mode

    By default the simple mode opens but you can switch by clicking on 'Switch to advanced mode'.




  3. You can apply filter for the following categories in the Simple mode:

    • Assignee

      You can select multiple assignees and the filter criteria says 'Can be one of'.


    • Responsible

      Allows you to choose the organisation responsible for the task execution.

    • Due Date

      Allows you to filter tasks based on due date. You can choose a custom due date or from the default options available.


    • Created by

      You can filter tasks based on which user account created it. Does not allow multiple selection and the filter criteria says 'Created by is exactly'.


    • Show Tasks

      You can filter tasks based on completion status. Choose from Complete, Incomplete or All.


  4. You can choose a custom filter from the 'Advanced mode' and apply to task fields. Click Done to view the filtered tasks.




  5. Click Clear when to exit the filter mode


List View



Each task has associated properties called task fields. Here is the list of task fields mentioned in the All Tasks List view:

  • Project phase
  • Assignee
  • Priority
  • Start Date
  • Due Date
  • Effort
  • Hours Tagged
  • Progress
  • At Risk
  • Completed At
  • Responsible
  • Created By
  • Created on
  • Budget




Note: There is a count of the total number of tasks at the bottom of the page.




Performing Bulk Actions with Tasks


You can click on the check box on the left of each task to select it.

On selecting a task, the Task selection dialog box pops in the left side of the screen.


You can edit the following properties for tasks in bulk:


  • Set Status
  • Set Start Date
  • Set Due Date
  • Shift Dates
  • Add Assignee
  • Reassign to
  • Delete





Exporting Task Lists as CSVs


Click on the Export icon from the top right corner of the screen.



Kanban View


The Kanban view on the List page from the Customer Portal allows you to have a global view of all the tasks in the project you have been added to.


You can edit the task properties based on which the rows and columns are grouped.


You can click on task and edit task properties from the task pane that opens.


You can have custom views too based on the task status, assignee, due date. Choose from default view options or create custom views using filters. You can filter tasks based on your preferences and save it as a shared/private view.







Adjusting Row and Column Settings


From the top nav bar, you can choose based on which task fields do you want to group your rows and columns. 

You can adjust these from the top nav bar.




Row Options


You can categorise the rows from the following default task field options:


  • None
  • Assignee
  • Priority
  • Project
  • Project Phase





Note: You can add custom task fields which have field type value set as Single choice.


Column Options


You can categorise the columns from the following default task field options:


  • Assignee
  • Due Date
  • Priority
  • Status
