When team members take time off during a project, customers need to be notified, especially if they @mention those team members in project chats. It's also important to have another team member ready to help with any urgent questions. Rocketlane makes this easy by letting you set up out-of-office messages and assign backup team members to respond when someone is away.
Here’s how to set it up:
- To set this up, follow these steps:
- Log in as an admin and go to your avatar.
- Click on Settings and scroll down to the Accounts section.
- Select "out of office" and enable the feature.
- Draft and add the message that needs to be sent out to customers when project team members are out of office.
- Use smart-fills to include the end date of the time off to provide accurate information about when the project team members will be back.
- Add a team member or placeholder as a stand-in team member to be notified of customer interactions when the team members are out of office.
Once configured, whenever a customer mentions a team member who is in their time off period, the out-of-office message that you configured will be sent to them. Additionally, the stand-in team member will be notified of the message the customer mentioned the user in, so that they can respond and assist the customer in the absence of other project team members.
