Meeting Page Templates automate how meeting discussions, summaries, and action items are structured and generated, based on conditions that match specific meetings.
Different interactions - such as kickoff calls and success calls - require different focus areas. You can create custom templates for each call type to ensure you extract the most relevant data. For a kickoff call, you might configure the AI to identify implementation requirements and contract commits. For a success call, the focus might shift to tracking customer issues, sentiment, and specific action items.
Navigate to meeting page templates
- Click Settings (gear icon) in the bottom-left of the sidebar.
- Go to Templates → Meeting Page Templates.
- Review the template list, which shows each template's status, creator, and last updated date.
- Click + New Template (top-right) to create a new template.
Define template trigger conditions
Use the Which meetings should be generated using this template? section to control when the template is applied.
Configure template sections
Templates are built using blocks. Each block can be renamed and configured to display specific information.
Meeting details and account information
Use these blocks to display metadata pulled from the meeting invite or CRM.
- Edit the Title (for example, "Minutes of Meeting").
- Use the Fields dropdown to add or remove data points such as meeting link, participants who attended, meeting owner, cost, and forecasted revenue.
AI-generated summary
Use the AI summary block to generate a structured summary from the meeting transcript. Configure the following options:
Action items
Use this block to extract commitments, next steps, and follow-ups.
- AI context: Define what to extract, for example: "Generate an action items list for the next meeting."
- Formatting: Use grouping and output formats similar to the summary block.
- Select Checklist to make action items easy to track.
Finalize and save
- Reorder blocks using the drag handle (six dots) next to a block.
- Preview AI blocks using the Play icon to view a sample output.
- Click Save in the top-right corner.
Meeting page template logic
Meeting pages are dynamically generated using pre-defined templates. These templates ensure that every meeting is captured and presented with the right context and layout.
Template matching conditions
For a template to be applied, it must meet specific criteria. You can configure templates to trigger based on:
- Account fields: Segment meetings by account-specific data like ARR, lifecycle stage, or status.
- Meeting fields: Filter based on the organizer, participants, meeting title, or owner.
- Meeting metadata: Use any other custom metadata configured within your instance to refine template applications.
Understanding template precedence
When a meeting occurs, Rocketlane may find multiple templates that satisfy the criteria. The system uses a top-down priority logic:
- Sequential evaluation: Templates are evaluated in the specific order they appear in your list.
- First match wins: The system applies the first template that matches the meeting's criteria.
- Exclusionary logic: Once a match is found and applied, all remaining templates are ignored for that meeting.
The system selects a template through the following automated workflow:
- Evaluate conditions for Template 1.
- If Template 1 matches, apply it and end the process.
- If it does not match, move to Template 2 and repeat the evaluation.
- Continue down the list until a match is found or all templates are exhausted.
RBAC for meeting intelligence
The Meeting Intelligence module allows admins to define what team members can access and do with meeting intelligence features, meeting pages, and meeting page templates. Permissions are scoped to control both the action (view, edit, delete) and the reach (whose data is visible).
